Private Party Clay Earring Workshop Contract

What's included in a private party?

• Each participant will receive 1 ounce of each; red, yellow, blue, white, and black Sculpey Premo clay.

• Full workshop instruction

• Use of all tools, cutters (Sunflower, cactus, etc.), texture rollers, and more. (We have a staggering collection of well over 1000 cutters and texture rollers for participants to choose from).

• Hands on guidance from start to finish

• Your own homemade earrings to take home (Due to time constraints, you can make 3-4 pairs of earrings during the class) All excess clay not used at the workshop is for the participants to keep.

What you will learn:

• How to condition and prepare clay

• Basic color theory and custom color mixing

• Techniques for using clay cutters and tools

• Finishing touches and baking guidance

Trivia Prize Wheel Event (Optional)

A trivia prize wheel event may be included during downtime (downtime will occur while the clay bakes in the toaster oven, estimated baking time 40-50 minutes). No extra fees are needed for the trivia wheel.

Participants can win small prizes (like candy, trinkets, or earrings) for correct trivia answers.

Every participant is guaranteed to spin the wheel at least once.

Payment policy for Private Clay Workshops

Minimum Participants; The workshop requires a minimum of 8 participants and can accommodate up to 15 participants.

Cost per participant: $55.00

Deposit: A non-refundable deposit of $154.50 ($150 deposit + 3% transaction fee) is required to secure the booking. This deposit will be applied toward the total balance due for the workshop.

Final Payment: The remaining balance is due at least 7 days prior to the scheduled event. If the final payment is not received by this deadline, the event will be canceled, and the deposit will not be refunded.

Minimum Payment Requirement: Regardless of how many participants actually attend (for example, if only 7 show up) the minimum balance due will be for 8 participants at $55.00 each ($440 total minus the $154.50 deposit = $290 minimum balance due).

The initial $154.50 deposit will be collected at the time of the booking to reserve your date.

After booking, you will receive an email with a link to pay the remaining balance.

There are several payment options at check out.

Cancellation Policy:

Host Cancellation

If the host needs to cancel the event they must do so at least 7 days before the scheduled workshop date to receive a refund minus the $154.50 non-refundable deposit.

If the event is canceled within 7 days of the scheduled date, no refunds will be provided. The full event amount (This includes all payments made and the minimum balance for the 8 participants) will be retained.

Refunds for host cancellation

Cancellations made before 7 days or more in advance will be refunded in full, minus the $154.50 deposit.

Cancellations made less than 7 days before the event will not be refunded, regardless of the reason for cancellation.

No Show or Short Attendance

If the event is not canceled and fewer than 8 participants show up, the host is still responsible for paying the minimum balance due for 8 participants.

No refunds will be given to participants who do not attend. This helps cover the cost of travel, materials, preparation time, and travel.

Sparrow & Olive LLC Cancellation

If Sparrow & Olive LLC must cancel the event for any reason, the host will receive a full refund of the deposit, and any additional payments made.

The host will also be offered the option to reschedule the event. As an added gesture of goodwill, Sparrow & Olive LLC will provide a 10% discount on the total balance for the rescheduling of the event.

Booking Policy for Future Event

Due to the respect for Sparrow & Olive LLC's time and scheduling, Sparrow & Olive LLC reserve the right to decline future bookings with any host who cancels an event without proper notice, or allows unsafe behavior during events.

Age and Supervision Policy

Children under the age of 11 years old are not permitted to participate in the event. No exceptions will be made due to the use of clay blades, ovens, and other clay tools.

Liability and Safety

All participants (or guardians for minors) must sign a liability waiver prior to the event. Sparrow and Olive LLC will bring paper copies of the liability waiver to the event for participants to sign before the start of the workshop.

All children under the age of 18 will require a legal guardian to sign a liability waiver on their behalf. If a Legal Guardian is not available to sign for a minor, they will not be able to participate.

No exceptions will be made.

The Guardian if not participating in the event must remain with minor, if the minor is under 16 years old.

Workshop Enviroment and Pet Policy

The Host is responsible for providing enough tables, chairs, and access to electricity.

It is recommended to have at least 3' of table space per participant and an 8ft table for the Instructor to stage toaster ovens and clay tools.

Sparrow & Olive LLC do have two 8ft tables and one 6ft table that can be rented at your event for $10 per table if needed.

Outdoor Events

Outdoor workshops (ex. Parks or Pavilion) are welcome, provided there is electricity available to run ovens.

In case of rain or high winds, the host must provide a clean, dry, and safe indoor location. The instructor will not risk damaging tools or materials in adverse weather.

If an adequate indoor space is not available in these conditions, the workshop may be cancelled or rescheduled at the instructors discretion. The host forfeits the deposit , and any additional payments already made if a safe alternative is not provided.

Pets

Sparrow & Olive LLC love furry friends! Between both owners we have 4 furry babies.

Our ask with the furry loved ones is to keep them out of the work area due to safety concerns and cleanliness.

Set Up and Clean Up

Sparrow & Olive LLC will need 20 minutes before and after the event to set up and tear down. No additional funds are needed for this window of time.

The host is responsible for any property damage caused by the guests during the event. The instructor will assist with cleaning up clay and workshop materials but general event cleaning and tidying of the space is the hosts responsibility.

Alcohol Policy

If alcohol is served at the event, the host is responsible for ensuring safe consumption. Sparrow & Olive LLC and Shannon Bradley are not liable for incidents/ accidents or injury's related to alcohol consumption use by guests/participants. If clay tools and workshop materials are damaged that exceeds $30 as a direct result of alcohol consumption, the host will be responsible for reimbursement of Sparrow & Olive.

(We understand that wear and tear naturally happen on equipment. If something accidentally breaks, we will not expect the host to replace it. The host is only liable for damages that occur as a direct result of alcohol consumption)

Health and Safety

Guests should not attend if they are feeling unwell or have been exposed to contagious illnesses. The instructor reserves the right to refuse service without a refund to any guest who appears sick to ensure a safe environment for everyone.

Travel Expenses

Free Travel Radius:

We will travel up to 40 minutes from Claysburg, PA at no additional cost. This typically includes locations within a 35 mile radius.

Extended Travel Fee:

If your location is beyond 35 miles from Claysburg PA, a $30 travel fee will be added to your invoice for the booking. Travel distance will be calculated using Google maps. This fee helps cover fuel, time, and transportation costs.

Maximum Travel Distance:

We do not travel more than 1 hour and 40 minutes (Aprox. 85 miles) away from Claysburg PA.
